POSITION TITLE: Operations and Communications Coordinator
STATUS: Exempt (Salary)
REPORTS TO: City Manager
DEPARTMENT: Administration
 

JOB OBJECTIVE:
The Operations and Communications Coordinator provides professional administrative, operational, and communications support to the City Manager and Deputy City Manager. Serving as a strategic partner, this position coordinates cross-department initiatives, manages organizational priorities, oversees public communications, coordinates and maintains vendor information and leads special projects that advance the City's strategic goals.
The Coordinator serves as a liaison between City departments, elected officials, residents, businesses, vendors, and community organizations while ensuring projects remain on schedule, communication is timely and accurate, and organizational initiatives are successfully implemented. The position requires sound judgment, discretion, initiative, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced, small town environment.
 

JOB SUMMARY:
Essential Duties and Responsibilities:
Executive and Administrative Operations
• Provide executive-level administrative support to the City Manager and Deputy City Manager.
• Coordinate the City Manager's administrative and operational initiatives.
• Manage schedules, meetings, projects, and organizational priorities.
• Prepare agendas, reports, correspondence, presentations, policy documents, and other
official communications.
• Maintain confidential records and files.
• Monitor project timelines and organizational deadlines.
• Assist in developing and implementing administrative policies and procedures.
• Support annual budget preparation and departmental administrative functions.
 

Strategic Operations and Organizational Initiatives
• Coordinate cross-department initiatives to improve communication, collaboration, and operational efficiency.
• Track strategic priorities established by the City Manager and Deputy City Manager and assist departments in meeting project milestones and implementation deadlines.
• Monitor the progress of organizational initiatives and prepare status reports for executive leadership.
• Identify opportunities to improve administrative processes and organizational effectiveness.
• Coordinate implementation of City-wide operational improvements and strategic initiatives.
• Serve as a project coordinator for high-priority initiatives assigned by the City Manager and Deputy City Manager.
 

Communications and Public Information
• Develop and implement the City's overall communications strategy.
• Develop and implement the City’s social media strategy.
• Manage and maintain the City's website and social media platforms.
• Prepare press releases, media advisories, public notices, speeches, presentations, and informational materials.
• Coordinate public messaging during significant community events.
• Promote City programs, services, capital projects, and community events.
• Respond to media inquiries and coordinate public information as directed by the City Manager.
• Ensure consistency in the City's branding, messaging, and public communications.
 

Special Projects
• Provide research on a wide-variety of local issues and projects
• Assist with grant applications, supporting documentation, reporting requirements, and compliance activities.
• Coordinate community events projects with City departments and external partners.
• Manage special projects assigned by the City Manager and Deputy City Manager from planning through implementation.
• Prepare project updates, timelines, and performance reports for leadership.
• Research grant opportunities that align with City priorities.
• Maintain documentation supporting any assigned duty or project
 

Public Engagement and Community Relations
• Serve as a point of contact for residents, businesses, community organizations, and partner agencies.
• Coordinate public meetings, workshops, and community outreach initiatives.
• Assist with citizen inquiries and service requests.
• Support economic development, tourism, and community engagement efforts.
• Develop educational materials and informational campaigns to enhance public awareness of City services.
 

Vendor Data Management
• Maintain and manage the City's centralized vendor database.
• Ensure vendor contact information, certifications, and related records remain accurate and current.
• Coordinate periodic updates of vendor information with City departments.
• Assist departments with maintaining complete vendor documentation in accordance with City purchasing policies.
• Support procurement and purchasing functions by ensuring vendor information is organized, accessible, and compliant with recordkeeping requirements.
 

Purchasing and Procurement
• Coordinate purchasing and procurement activities for the Administration Department.
• Provide administrative support for City-wide procurement processes as assigned.
• Maintain vendor information, assist with obtaining quotations, prepare purchase requisitions and related documentation, monitor purchasing records, and ensure compliance with City purchasing policies and applicable state and local procurement requirements.
• Ensure compliance with applicable local, state, and federal laws, regulations, and policies.
 

Other Duties
• Attend evening meetings, public events, and community functions as required.
• Assist with all communications and continuity of operations during emergency events.
• Perform other duties as assigned by the City Manager and Deputy City Manager.

• Proficiency with Microsoft Office Suite.
• Experience managing websites and social media platforms.
• Experience with Canva, Adobe Creative Suite, website content management systems, or
similar communication tools is desirable.
• Knowledge of municipal government operations is preferred.
 

MINIMUM QUALIFICATIONS REQUIRED:
• Bachelor's degree in Communications, Business Administration, Marketing, Organizational Leadership, Political Science or a closely related field.
• Three (3) years of progressively responsible professional experience in government, public administration, communications, project management, organizational operations, or a closely related field is preferred.
• Equivalent combinations of education and experience may be considered.
• Driver's License: A valid Georgia Driver’s License is required.
 

Physical Demands & Work Environment:
Physical Requirements
• Primarily sedentary office work.
• Frequent computer and telephone use.
• Occasional lifting of up to 25 pounds.
• Occasional travel within the City for meetings, events, and project coordination.
Work is performed primarily in an office environment with regular interaction with City staff, elected officials, residents, businesses, consultants, vendors, and community organizations. Attendance at public meetings, community events on evenings and outside regular business hours may be required.
